Privacy Policy
Last updated: 17 October 2026
HotLine (hotline.bidprompt.si, including every hotline.bidprompt.si/yourcompany address) is a lead-management service made by Quent Now. This policy explains what we collect, why, and the choices you have. It is written to follow India's Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000.
1. Who this covers
- Customers and their team members who sign up for and log in to HotLine.
- Leads: people who enquire with our customers' businesses (through WhatsApp, Meta lead forms, a website chat button, file imports or manual entry). For lead data, our customer is the business responsible for it, and we handle it only on their instructions.
2. What we collect
- Account details: name, email, mobile number, company name, password (stored in hashed form), role and call status.
- Lead details our customers bring in: name, phone, email, city, messages, the page or ad the enquiry came from, ad click IDs (such as fbclid, _fbc, _fbp), IP address and browser type at the time of the enquiry, notes, follow-ups and call outcomes.
- Billing details: plan, payment status and Razorpay payment and subscription IDs. Card, UPI and bank details are handled by Razorpay; we never see or store them.
- Device data: if you turn on phone alerts, a push-notification address for your browser.
- Usage logs: basic technical logs (time, action, errors) to keep the service secure and working.
3. How we use it
- To run the service: route each lead to a caller, send alerts and reminders, show reports and keep a history of each lead.
- To send an automatic WhatsApp reply to a lead, if the customer has switched this on.
- To report lead stages (for example "Lead" or "Converted") to the customer's own Meta Pixel through Meta's Conversions API, if the customer connects it. Phone numbers and emails are hashed (SHA-256) before they are sent.
- To bill customers and manage subscriptions.
- To provide support, prevent misuse and meet legal obligations.
We do not sell personal data, and we do not use lead data for our own marketing.
4. Who we share it with
Only with service providers needed to run HotLine, under their own security and privacy terms:
- Supabase: database, login and server functions.
- Vercel: website hosting.
- Razorpay: subscription payments.
- Meta Platforms (WhatsApp Business, Facebook/Instagram lead forms, Conversions API): only when a customer connects their own Meta accounts.
- Browser push services (Google, Apple, Mozilla): to deliver alerts you switch on.
We may also disclose data if required by law, or to protect our users or the service. Some providers may store data on servers outside India; we use reputable providers with strong safeguards.
5. How long we keep it
Account and lead data are kept while the customer's account is active. After an account is closed, we delete or anonymise its data within 90 days, unless the law requires us to keep some of it longer (for example, billing records for tax purposes). Customers can ask us to delete specific leads at any time.
6. Security
Data is sent over encrypted connections (HTTPS). Access is limited by account and role, so callers only see the leads assigned to them. Access tokens for Meta and WhatsApp are stored separately and are never shown again in the app. No system is perfectly secure, but we work to protect your data and will notify affected customers of a breach as the law requires.
7. Your rights
You can ask to see, correct or delete your personal data, withdraw consent, or name someone to act for you. You can also raise a complaint with our Grievance Officer (below), and if it is not resolved, with the Data Protection Board of India.
If you are a lead who enquired with one of our customers, please contact that business first. You can also write to us and we will pass your request to them and help them act on it.
8. Cookies and local storage
HotLine uses your browser's local storage to keep you signed in and to remember small settings. The website chat button on our customers' sites stores the ad click ID for up to 7 days so the enquiry can be matched to the ad. We do not use advertising cookies on HotLine itself.
9. Children
HotLine is a business tool and is not meant for anyone under 18.
10. Meta and WhatsApp data
Data we receive through Meta's platforms is used only to provide HotLine's features to the customer who connected it. To remove it, see Data deletion.
11. Changes
If we change this policy, we will update the date above and, for important changes, tell customers by email or in the app.
